We are currently seeking a Logistics Coordinator – Coffee to join our growing team and uphold the high standards of our operations.

Role Overview
The Logistics Coordinator – Coffee will be responsible for managing and streamlining logistics operations to ensure timely and cost-efficient export of coffee. The role involves working with key stakeholders such as UCDA, freight forwarders, and local transporters to ensure smooth movement of goods from warehouse to final destination, while maintaining compliance with all regulations and quality standards.

Key Responsibilities

1. Logistics Coordination

• Manage all coffee export logistics, including planning, documentation, and execution.
• Review shipping instructions and organize export arrangements accordingly.
• Prepare accurate shipping documents based on client requirements.
• Coordinate bookings and shipping schedules with freight forwarders and shipping lines.
• Ensure timely dispatch of shipment documents to clients for clearance purposes.
• Track cargo movement within the country and ensure proper declaration at border points.
• Monitor shipment progress and provide updates to management and clients.

2. Stakeholder Management

• Act as the main contact with UCDA to ensure compliance with export regulations and obtain necessary approvals.
• Build and maintain strong relationships with logistics partners to secure competitive rates and efficient schedules.

3. Documentation & Compliance

• Ensure all export documentation (invoices, phytosanitary certificates, bills of lading, etc.) is accurate and submitted on time.
• Work closely with UCDA to meet certification and quality standards.
• Ensure adherence to both local and international shipping regulations.

4. Inventory & Quality Control

• Collaborate with warehouse teams to manage stock and prepare shipments.
• Ensure all products meet client-specified quality standards prior to export.

5. Operational Efficiency

• Identify opportunities to improve logistics processes and reduce costs.
• Track and report on key performance indicators such as delivery timelines and expenses.

6. Risk Management & Problem Solving

• Resolve issues related to delays, damages, or compliance challenges.
• Develop contingency plans to minimize risks in logistics operations.

7. Communication & Reporting

• Prepare and present logistics reports to management, highlighting performance and improvement areas.
• Maintain clear communication across departments involved in logistics operations.
• Provide timely updates to clients regarding shipment progress and contracts.
• Respond promptly to customer inquiries and direct them to appropriate information when necessary.

Qualifications

• Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
• Minimum of 3 years’ experience in a logistics supervisory role.
• Experience within the coffee value chain is required.

• Knowledge of UCDA regulations and procedures is an advantage.
