Works closely with: Systems Administrator, Network Engineer, all departments and System OEMs and vendors
Key Responsibilities
-
A. Manufacturing & Laboratory Systems Administration
i. Administer and support LIMS, Chromeleon data systems, analytical instrument workstations and production and packaging platforms.
ii. Manage users, roles, instrument connectivity, data storage, backup and archival for scientific systems.
iii. Maintain an accurate inventory of computerised systems covering criticality, GxP classification, versions, validation status and OEM support cover.
B. Server, Virtualisation & Core Infrastructure
iv. Administer the Windows Server estate and VMware ESXi environment — builds, hardening, patching under change control, capacity, monitoring and lifecycle.
v. Administer Active Directory, DNS and DHCP; support Group Policy and directory health.
vi. Perform backup operations for systems in scope and perform documented restoration tests to prove recoverability.
C. SOP Compliance, Change Control & Documentation
vii. Execute all work in strict accordance with QCIL IT SOPs and the Quality Management Systems
viii. Raise and close change records for every system change, including risk assessment, verification steps, rollback plan and post-implementation evidence.
ix. Maintain contemporaneous, attributable records for all incidents, changes, access grants, backups and interventions; log all work in the ITSM platform.
x. Draft and maintain SOPs, work instructions, configuration baselines and technical runbooks.
D. Data Integrity & Validation Support
xi. Enforce ALCOA+ data integrity principles; ensure audit trails are enabled, protected and available for review.
xii. Support Computerised System Validation activities — URS input, IQ/OQ/PQ execution and requalification following changes.
E. OEM & Vendor Technical Coordination
xiii. Act as QCIL’s technical counterpart to system OEMs — raise, evidence, escalate and close support cases within agreed service levels.
xiv. Plan and supervise all OEM remote and on-site interventions; verify change control approval is in place before any change is made.
xv. Maintain the support contract register, renewal calendar and escalation matrix.
F. Access Management, Security & Support
xvi. Administer user onboarding, role changes and offboarding across systems in scope; execute periodic User Access Reviews and remediate exceptions.
xvii. Support endpoint security, patch compliance and incident response in coordination with the managed security provider.
xviii. Provide responsive on-site support to Production, QC and Warehouse users, prioritising by production and quality impact.
xix. Perform root cause analysis on recurring incidents and implement permanent corrective actions.
G. DR, Audit & Projects
xx. Contribute to development and periodic testing of IT disaster recovery and business continuity plans for critical systems.
xxi. Provide IT evidence for internal audits, customer audits and regulatory inspections; close observations within agreed timelines.
xxii. Deliver assigned IT projects, upgrades and migrations to agreed scope, schedule and documentation standards.
H. Any other tasks as may be assigned from time to time by the Line Manager
Qualifications, Skills and Experience:

Bachelor of Science degree in Information Technology, Computer Science, Information Systems, Engineering or a related field
a. Minimum of 4 years’ hands-on IT experience, including at least 2 years as a senior officer or specialist level with independent ownership of systems
b. Strong hands-on experience administering Windows Server, Active Directory and VMware ESXi
c. Experience supporting a Plant/Factory, Laboratory, or instrument-attached or operational technology systems where IT downtime halts a physical process
d. Experience working within a formal change control, documentation and audit regime
e. Experience managing OEM and third-party vendor technical support relationships; Experience with LIMS, Chromeleon, or comparable specialist platforms — strong advantage
f. Good teamwork, interpersonal skills and adherence to Quality Management Systems
g Self-starter, flexible and able to work well under pressure at work
h. Be observant, creative and innovative in line with the business needs
