About the Role
As an Executive Assistant at Pavago, you will play a vital role in enhancing the productivity of two senior executives by providing comprehensive support that goes beyond traditional administrative tasks. This position is essential in ensuring that leadership can focus on strategic initiatives while you manage their schedules, communications, and operational logistics. In your first few months, you will quickly become familiar with the executives’ workflows and preferences, allowing you to anticipate their needs and streamline their daily operations. Your contributions will help cultivate an efficient and organized work environment, making this role critical to the success of the executive team.
Key Responsibilities
- You will manage executive email inboxes using Microsoft Outlook, ensuring that all communications are organized and prioritized according to urgency and importance.
- Your role will involve drafting professional responses to emails on behalf of the executives, thereby maintaining a consistent and polished communication style.
- By organizing and facilitating meetings across multiple time zones, you will ensure that executives’ calendars are optimized and free of scheduling conflicts.
- You will coordinate all aspects of virtual meetings using platforms such as Zoom and Microsoft Teams, including sending invitations and managing logistics.
- Handling confidential information will be a critical part of your role, requiring you to exercise discretion and professionalism at all times.
- As the primary point of contact for clients and vendors, you will represent the executives in a professional manner, fostering positive relationships and effective communication.
- You will assist in preparing meeting agendas, presentations, and necessary documentation, ensuring that executives have all required materials for effective meetings.
Requirements & Qualifications
- A minimum of 3 years of experience in an administrative or executive support role is highly desirable.
- Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel, is essential for managing communications and documents.
- Strong organizational skills and attention to detail are necessary to balance multiple tasks and meet deadlines effectively.
- Excellent verbal and written communication skills will enable you to interact confidently with various stakeholders, including clients and team members.
- Experience with CRM systems, particularly Salesforce, will be beneficial in maintaining records and tracking projects.
