Job Title: Administration Supervisor

Reports to: Manager Administration & Security

PURPOSE OF THE ROLE

To lead and oversee the Bank’s Administration and Logistics function by ensuring the efficient management of facilities, fixed assets, property, vendors, and inventory to support business growth and operational resilience.

The role drives compliance with regulatory requirements and internal policies, strengthens governance through effective risk, audit, and control management, optimizes operational efficiency and cost effectiveness, champions automation and continuous process improvement, ensures timely and responsive support to the branch network, and develops a high-performing Administration team that delivers exceptional service and business value.

MAIN JOB RESPONSIBILITIES

  1. Lead the management, maintenance, refurbishment, expansion, and relocation of bank properties and facilities, ensuring compliance with regulatory, health, safety, and environmental standards while optimizing operational efficiency.
  2. Manage landlord, vendor, and contractor relationships by overseeing contracts, renewals, SLA performance, negotiations, and service delivery to ensure value, quality, and timely execution.
  3. Oversee fixed asset and inventory management, including asset tagging, record maintenance, disposals, stock controls, and effective utilization of available space.
  4. Ensure Administration policies, procedures, risk registers, KRIs, and operational registers remain current, effectively implemented, and aligned with business requirements and governance standards.
  5. Drive the timely resolution and closure of audit, compliance, risk, and regulatory findings to maintain strong control environments and achieve satisfactory audit outcomes.
  6. Monitor and manage administration budgets, property-related costs, utilities, repairs, and operational expenses while providing accurate and timely financial and performance reports.
  7. Lead, coach, and develop the Administration team through effective performance management, succession planning, workforce planning, leave management, and capability development initiatives.
  8. Enhance internal customer service by ensuring administration requests from branches and Head Office are resolved promptly and within agreed service level standards.
  9. Maintain an updated service provider database and drive automation and process improvement initiatives to enhance efficiency, turnaround times, service quality, and cost optimization.
  10. Prepare timely administration reports, provide operational insights to Management, and undertake any additional responsibilities as assigned.
  11. Safeguarding: Read, understand, practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action. Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.

REQUIRED QUALIFICATIONS AND SKILLS.

• • Minimum of 2 years’ supervisory experience in Admindtration Management and Facilities Management.
• Bachelor’s degree in business administration, Supply Chain Management, Procurement and Logistics Management and or related field.

KNOWLEDGE, EXPERIENCE & COMPETENCIES

• Strong knowledge of the Bank’s policies, procedures, and administrative processes.
• Excellent verbal and written communication, interpersonal, and stakeholder management skills.
• Strong attention to detail with the ability to prioritize tasks and meet deadlines.
• Sound judgment, professionalism, and the ability to maintain confidentiality and discretion.
• Strong analytical, problem-solving, and organizational skills with a results-oriented approach
