Job Summary
The Warehouse & Logistics Documentation Specialist is responsible for managing all warehouse and logistics documentation to ensure every inventory movement is accurately recorded, processed, and traceable. The role supports efficient warehouse operations by maintaining proper documentation for the receipt, storage, transfer, and dispatch of tiles and sanitary ware.
Key Responsibilities
Warehouse Documentation
- Prepare, review, and maintain warehouse documents such as Goods Received Notes (GRNs), delivery notes, waybills, stock transfer forms, picking lists, and stock issue documents.
- Ensure every inbound and outbound shipment of tiles and sanitary ware is supported by complete and accurate documentation.
- Verify product codes, descriptions, quantities, batch numbers, and other relevant details before processing documents.
- Ensure all warehouse records are properly completed, authorized, and securely filed.
Inventory Records Management
- Maintain accurate records of stock receipts, transfers, issues, and dispatches.
- Reconcile physical stock movement documents with inventory system records.
- Monitor inter-warehouse and internal stock transfers for accuracy.
- Identify, investigate, and report missing documents, record discrepancies, and inventory movement errors.
Reporting & Data Management
- Update warehouse and inventory management systems promptly and accurately.
- Prepare daily, weekly, and monthly warehouse documentation reports.
- Maintain organized physical and electronic filing systems.
- Assist with stock counts, inventory audits, and reconciliation activities.
Compliance & Document Control
- Ensure adherence to established warehouse documentation procedures and company policies.
- Maintain complete traceability for all inventory transactions.
- Keep documentation readily available for audits and management reviews.
- Protect confidential company records and inventory information.
Qualifications & Experience
- Diploma or Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, Records Management, or a related discipline.
- At least 2–4 years of experience in warehouse documentation, logistics, or inventory management.
- Previous experience in manufacturing, distribution, or the building materials industry is an added advantage.
- Proficiency in Microsoft Office applications and experience using ERP or Warehouse Management Systems (WMS).
