About the Role

UBUNTU MOVERS is on the lookout for an organized and detail-oriented Billing Officer to join their team in Kampala. This role is crucial for managing customer invoicing and billing activities within their transport and logistics operations, ensuring accuracy and efficiency in revenue collection. In the initial months, the Billing Officer will familiarize themselves with the company’s billing processes, engage with various teams, and refine their skills in invoicing and reconciliations. This position not only supports the financial health of the company but also enhances customer satisfaction through timely and accurate billing.

Key Responsibilities

  • The Billing Officer will prepare and issue precise customer invoices for services related to transport, delivery, and storage, ensuring all charges are accounted for accurately.
  • Verification of delivery notes, transport documents, and service records is essential before generating invoices, guaranteeing that billing is based on accurate data.
  • It is the responsibility of the Billing Officer to ensure that invoices are generated and dispatched to customers within the timelines agreed upon, maintaining a steady cash flow.
  • Maintaining accurate billing records and customer account information is paramount, as this ensures easy access to historical data for reporting and audits.
  • The Billing Officer will monitor outstanding invoices and actively support the Finance team in following up on accounts receivable, thus minimizing overdue payments.
  • Reconciliation of invoices against delivery records, receipts, and contracts is a key task, helping to identify and rectify any discrepancies that may arise.
  • Investigating and resolving billing discrepancies and disputed charges is essential to maintain customer trust and ensure smooth operations.
  • Coordination with Operations and Dispatch teams will be necessary to gather complete documentation for services rendered, ensuring all billing information is comprehensive.
  • Processing credit notes, adjustments, and billing corrections must be done accurately, in line with company policies, to uphold financial integrity.
  • In addition, the Billing Officer will prepare billing summaries and reports for management review, providing insights into revenue trends and customer payment behaviors.

Requirements & Qualifications

  • A Bachelor’s degree in Accounting, Finance, or a related field is preferred for this role, as it lays the foundation for the required skills.
  • Proven experience in billing, accounts receivable, or a similar role is essential, typically requiring at least 2-3 years in a financial position.
  • Strong numerical and analytical skills are crucial, allowing the Billing Officer to manage data effectively and identify issues promptly.
  • Attention to detail is a must; the ability to spot discrepancies and ensure accuracy in billing processes can significantly impact the company’s revenue.
