About the Role
The Document Controller position at VAAL Real Estate is vital for ensuring the integrity and organization of project documentation in the dynamic field of construction. This role supports the management of all project-related documents, ensuring that all stakeholders have access to accurate and up-to-date information. In the initial months, the Document Controller will focus on establishing document control systems, understanding project workflows, and collaborating with various teams to maintain consistent naming conventions and document trails. This position not only enhances project efficiency but also significantly contributes to audit readiness and compliance with industry standards.
Key Responsibilities
- Maintain the controlled document register and Electronic Document Management System (EDMS) for all project drawings, Requests for Information (RFIs), submittals, and correspondence.
- Ensure consistent naming conventions are applied across all reports and systems to eliminate ambiguity and improve clarity in documentation.
- Document and maintain the evidence trail associated with milestone achievements, linking each milestone to its supporting documentation such as inspection records and test certificates.
- Support the audit-readiness of project documentation for Board reporting and facilitate any future Earned Value Management (EVM) or claims processes.
- Collaborate with project teams to collect and verify documents, ensuring compliance with document control processes.
- Provide training and support to new team members on document management practices and tools, fostering a culture of compliance and accuracy.
Requirements & Qualifications
- A relevant diploma or degree in a related field, with preference given to candidates familiar with Aconex, Procore, SharePoint, or similar EDMS.
- Four to seven years of experience in construction document control, demonstrating a solid understanding of the construction process.
- At least two years of experience working in Uganda or East Africa, with knowledge of local industry standards and practices.
- Experience managing documentation on high-rise buildings or multi-package projects that involve coordination with various contractors and consultants.
- Comprehensive understanding of document control numbering conventions and proficiency in using cloud-based file management systems like SharePoint.
