About the Role

The Logistics & Admin Assistant position at ZOA Uganda plays a crucial role in supporting the Acholi Programme team based in Kampala. This position is essential for ensuring that logistics and administrative operations run smoothly, facilitating timely access to goods and services for field activities in the Lamwo district. Over the first few months, you will work closely with the Programme Manager and Logistics Coordinator, learning the intricacies of procurement and asset management standards while gaining insights into humanitarian operations. Your contributions will help enhance the efficiency of supply chain management and fleet coordination, all within a respected international NGO environment.

Key Responsibilities

  • You will assist with procurement processes by preparing purchase requests and verifying supplier quotations, ensuring compliance with ZOA guidelines.
  • Your role will involve receiving, inspecting, and storing purchased goods, while maintaining accurate stock records in the warehouse management system.
  • Updating the procurement tracker will be a key task, requiring you to compile complete documentation that includes delivery notes and approval signatures for auditing purposes.
  • Coordinating vehicle bookings and maintenance schedules will be part of your responsibilities, ensuring that fleet availability meets the demands of field missions in the Acholi sub-region.
  • Monitoring fuel consumption and mileage logs will be critical, as you will produce weekly reports for the Logistics Coordinator’s review.
  • You will manage the office supplies inventory by conducting monthly stock takes and initiating replenishment orders when levels dip below the minimum required.
  • Providing basic IT support is also a part of your role, including assisting staff with password resets, printer troubleshooting, and software installations.
  • Maintaining the asset register will be crucial; you will update the locations and conditions of equipment and ensure timely reporting of any losses or damages.
  • Supporting the organization of workshops and meetings will require you to arrange venue logistics, catering, and transportation for participants as needed.
  • Your responsibilities will also include preparing monthly logistics reports that summarize procurement activities, fleet usage, and stores movements for management review.

Requirements & Qualifications

  • A Diploma in Procurement, Logistics, Business Administration, or a related field from a recognized institution is essential for this position.
  • You should possess a minimum of two years of experience in logistics administration, procurement, or office support, preferably within an NGO or corporate environment.
  • Proficiency in MS Office, particularly Excel, is necessary for effective data tracking and report generation, along with a demonstrated ability to quickly learn new systems.
  • Strong organizational skills are required, with a proven ability to manage multiple tasks, prioritize effectively, and consistently meet deadlines.
  • Excellent written and verbal communication skills in English are essential for interacting with team members and external stakeholders.
