About the Role
The Senior Business Support Assistant position offers an exciting opportunity to join the NHS Ayrshire & Arran’s Business Support Team in Uganda. This role is crucial for ensuring the smooth operation of administrative functions that support the Senior Management Team in a dynamic healthcare environment. New hires will quickly become integral members of the team, providing essential support and contributing to multi-disciplinary meetings. Over the first few months, the successful candidate will familiarize themselves with NHS systems and develop strong working relationships with team members, enhancing their organizational and communication skills.
Key Responsibilities
- Provide comprehensive business and administrative support, ensuring all tasks are executed efficiently to foster a productive working environment.
- Manage diaries, correspondence, and meetings, including minute-taking to capture essential discussions and decisions.
- Produce various reports, spreadsheets, and other documentation to assist in the effective management of departmental operations.
- Maintain accurate records and support payroll, absence, and expense processes, ensuring compliance with NHS policies and procedures.
- Work collaboratively with other team members to provide cross-cover, facilitating continuity of support during absences.
- Assist in the preparation and organization of multi-disciplinary meetings, helping to engage stakeholders and facilitate clear communication.
Requirements & Qualifications
- Significant experience in a senior administrative or business support role, demonstrating an ability to manage complex tasks effectively.
- Strong organizational and prioritization skills, crucial for managing multiple responsibilities in a fast-paced environment.
- Advanced IT skills, particularly in Microsoft Office Suite, including proficiency in advanced Excel functionalities.
- Experience with NHS systems is desirable, with familiarity in EESS/SSTS considered an advantage.
- Excellent communication skills, with a proven ability to handle confidential information responsibly and professionally.
